Quick answer: You can cancel an e-way bill within 24 hours of generation if the goods were not transported, or not as per its details, unless it has been verified in transit. After that it cannot be cancelled on the portal; the recipient may reject it within 72 hours or before delivery, if earlier.

Cancellation is the only real undo button in the e-way bill system, and it works for just 24 hours. Use it when the goods will not move, or when Part A details are wrong. Miss the window and your options shrink quickly.

The rule in short

Under Rule 138(9) of the CGST Rules:

  • An e-way bill can be cancelled within 24 hours of generation,
  • where goods are not transported, or are not transported as per the details in the e-way bill,
  • but it cannot be cancelled if it has been verified in transit by an officer.

Before you cancel, run through three quick checks:

  1. Has it been less than 24 hours since generation?
  2. Is there a valid reason — goods not moved, or details wrong?
  3. Has the e-way bill not yet been verified by an officer?

If all three are true, you can cancel.

Cancellation vs rejection vs update vs extension

Cancellation is often confused with the other actions available on an e-way bill. Each has its own owner and time limit:

ActionWhoTime limitUse for
CancelGenerator24 hours from generationGoods not moved, Part A errors, duplicates
RejectRecipient72 hours or delivery, whichever is earlierRecipient did not order or does not accept the consignment as shown
Update Part BGenerator or assigned transporterAny time during validityVehicle change, trans-shipment, first-time entry
ExtendGenerator or transporter in charge8 hours before or after expiryGoods delayed by exceptional circumstances — see Validity

How to cancel on the portal

Menu labels can differ slightly between the main portal and the E-Way Bill 2.0 portal, but the process is broadly:

  1. Log in to the official e-way bill portal with your username, password and multi-factor authentication (OTP).
  2. Open the e-way bill menu and choose the cancel option.
  3. Enter the 12-digit e-way bill number and fetch it.
  4. Confirm it is the right bill — compare the document number, date and recipient shown.
  5. Select a reason — commonly duplicate, order cancelled, data entry mistake, or others — and add remarks.
  6. Submit. The status changes to cancelled and that e-way bill number cannot be used again.

The e-way bill can also be cancelled through other official modes such as SMS or API, for users set up for them. See the user documentation.

Cancelling from the E-Way Easy app

If you generated the e-way bill through the E-Way Easy app, you can cancel it from the app as well, within the same 24-hour window. A cancellation costs 5 credits from the wallet, and the credits are taken only if the cancellation succeeds; if the portal rejects it (for example because the window has closed), they are refunded automatically. See features.

Example (illustrative): wrong buyer GSTIN

A Coimbatore pump maker generates an e-way bill on 14-10-2026 at 11:20 for a Bengaluru dealer. At 15:00, the accounts team notices the dealer's GSTIN was copied from an old branch.

  • Cancellation allowed until 15-10-2026, 11:20.
  • The team cancels at 15:10 with reason "Data entry mistake", then generates a new e-way bill with the correct GSTIN.
  • The driver is given the new e-way bill number; the old printout is destroyed so there is no confusion at a checkpoint.

Example (illustrative): wrong invoice value

A Surat textile wholesaler raises an invoice for ₹1,12,000 plus 5% GST and generates an e-way bill at 4:30 pm on 3 October. At 9:00 am the next morning, the accounts team notices the taxable value should have been ₹1,21,000 — two digits were swapped.

CheckStatus
Time since generation16.5 hours — within 24 hours
Goods moved?Not yet dispatched
Verified in transit?No

What the wholesaler does:

  1. Cancels the e-way bill with reason "data entry mistake" before 4:30 pm on 4 October.
  2. Corrects the invoice in its books as per its own invoicing practice (or issues a fresh invoice, depending on how its accounting treats the error).
  3. Generates a new e-way bill with the correct value: ₹1,21,000 + ₹6,050 GST = ₹1,27,050.
  4. Dispatches the goods with the new e-way bill.

Had the error been spotted at 6:00 pm on 4 October, the window would already have closed.

Who can cancel and who cannot

PersonCan cancel?
The person who generated the e-way bill (supplier, recipient or transporter)Yes, within 24 hours
A transporter who was only assigned the bill to fill Part BNo — ask the generator
The recipient who did not generate itNo — but can reject it within the acceptance window
An officerNot applicable; a bill verified by an officer cannot be cancelled by anyone

If your transporter generated the e-way bill on your behalf, the cancellation must also be done from the transporter's login. Agree in advance who will handle cancellations so that no one waits for the other while the 24 hours run out.

Special cases

E-way bill with Part A only

A bill generated with only Part A (no vehicle yet) can be cancelled in the same way within 24 hours. If the goods are not going to move at all, cancel it rather than leaving an unused bill on record.

E-way bill generated from an IRN

For e-invoice taxpayers, the e-way bill generated using the IRN is a separate record from the e-invoice. Cancelling the e-way bill does not cancel the IRN, and cancelling the IRN has its own rules and time limit on the Invoice Registration Portal. If both the sale and the movement are off, handle each one in its own system.

Consolidated e-way bill

A consolidated e-way bill (Form GST EWB-02) groups several individual e-way bills in one vehicle. If one consignment is pulled out of the vehicle, the individual bills and the consolidated bill need to be handled as per the portal's options — usually by regenerating the consolidated bill for the remaining consignments. Check the user documentation for the current steps.

Bulk-generated bills

If a bulk upload created a wrong or duplicate e-way bill, cancel those specific bills within 24 hours. Do not re-upload the whole file to "replace" them. See Bulk Generation.

What to record when you cancel

Keep a short note for each cancellation in your e-way bill register:

ColumnExample (illustrative)
Original EWB number3310 xxxx xxxx
Invoice numberCPM/26-27/1187
Generated at14-10-2026 11:20
Cancelled at14-10-2026 15:10
Reason selectedData entry mistake
RemarkOld branch GSTIN of buyer used
Replacement EWB3310 yyyy yyyy

This takes a minute and saves a lot of explanation later, especially when e-way bill data is compared with GSTR-1.

After the 24-hour window

The portal will not let you cancel. What remains:

  • Recipient rejection. Under Rule 138(12), the recipient can reject the e-way bill within 72 hours of the details being made available, or before delivery if earlier; otherwise it is deemed accepted. Ask the buyer to reject if the goods were never sent to them.
  • Let it lapse, but keep evidence. If goods never moved and will not move, the bill simply lapses after its validity. Keep records — the cancelled order, internal notes, any credit note, the transporter's confirmation that no vehicle was dispatched — in case the unused e-way bill is questioned later. Your tax consultant can advise on how to reflect this in returns.
  • If goods must still move and Part A is wrong, a correct e-way bill is needed, but the old one is still active against the same consignment. Take professional advice before generating a second document, because a mismatch between the invoice and the e-way bill during an inspection can create avoidable trouble.
  • Watch return reconciliation. E-way bill data is compared with returns. An uncancelled bill for a sale that did not happen can raise questions.

Note: GSTN has reported that from 1 January 2025, an e-way bill cannot be generated for a base document dated more than 180 days before the generation date. If a correction drags on, check that your invoice or challan is still within that limit, and verify the current position on the official portal.

Cancelling the e-way bill vs cancelling the invoice

These are separate. Cancelling an e-way bill only cancels the movement record. If the sale itself is off:

  • Before reporting in returns, follow your accounting process for cancelling the invoice.
  • After reporting, a credit note is the usual route.
  • For e-invoices, the IRN has its own cancellation rules and time limit on the IRP; check them separately.

Common mistakes

  • Cancelling for a wrong vehicle number, when a Part B update would do.
  • Waiting until the end of the day to review e-way bills — an error found at the evening review may already be close to or past 24 hours if the bill was generated the previous afternoon.
  • Cancelling after dispatch without stopping the vehicle. The goods are then moving without a valid e-way bill. Hold the vehicle, cancel, generate the new bill, then move.
  • Cancelling the bill but letting the truck leave with the old printout.
  • Cancelling the e-way bill but not fixing the invoice — the new e-way bill must match a correct base document.
  • Assuming the invoice is also cancelled.
  • Cancelling the correct bill instead of the duplicate. In a busy dispatch room, always match the document number before submitting.

Reducing the need to cancel

Most cancellations come from Part A data entry errors. A short check before generation catches most of them: buyer GSTIN, invoice number and date, taxable value, tax amount, HSN and destination PIN.

  • Review every e-way bill as soon as it is generated, not at day's end.
  • In the E-Way Easy app, buyer address, state and PIN fill from the buyer's GSTIN and the HSN fills from the saved product. The Review EWB step is the moment to check GSTIN, PIN, HSN and value before the e-way bill is generated — fixing an error there is much easier than cancelling later.
  • Keep a simple register: EWB number, invoice number, time generated, status.

Official sources

Cancellation is governed by Rule 138(9) and recipient rejection by Rule 138(12), both available on CBIC GST. Follow the current screens and reason codes on the e-way bill portal and in the user documentation.

Frequently asked questions

How long do I have to cancel an e-way bill?

24 hours from the time of generation.

Who can cancel an e-way bill?

The person who generated it can cancel it within 24 hours, as long as it has not been verified in transit.

Can I cancel after 24 hours?

Not on the portal. The recipient can reject it within 72 hours (or before delivery, if earlier). Otherwise keep documentary evidence that the goods did not move under that e-way bill.

Can an e-way bill be cancelled after an officer has checked the vehicle?

No. An e-way bill that has been verified in transit cannot be cancelled by anyone.

Does cancelling the e-way bill cancel the invoice?

No. The invoice is a separate document. If the sale is also cancelled, handle the invoice through your accounting process and returns, such as a credit note where appropriate.

Can I reuse the same invoice number after cancelling?

Generally yes, a new e-way bill can be generated against the same document after the earlier one is cancelled. The cancelled e-way bill number itself cannot be used again. Check the portal's current behaviour if you face a duplicate warning.
